Making assumptions can lead to extra costs and risky situations. Good communication between the Board, the Property Manager and the contractor can minimize these costs and risks.

When talking about communication, what matters the most?

  • Knowing when & how to communicate both up & down stream
  • The whole team (boards, Property Managers & contractors) understands the roles and responsibilities
  • Proactive notification of events & operations prior to large snow storms or flash freezes and regarding chronic trouble spots

Why Things Go Wrong

  • Unrealistic expectations of unit owners
  • Lack of communication and misunderstanding between all parties (board, Property Managers and contractors)
  • Contractor failed to properly price the contract
  • Contractor did not properly plan (staff, equipment, etc.)
  • Dishonesty

So what are the risks involved with lack of communication?

  • Slip and fall claims can be laid against the Board of Directors if the contractor does not carry the proper WSIB certification or liability insurance
  • Delays in your winter service – or no service!
  • No communication between any of the parties for the duration of the season

Whether the team communication is great or could use some fine-tuning, at the end of each snow season meet with your contractor to review what worked, and what did not work in the season that just passed. Meet again in the fall, visit the site together and plan for the upcoming season. Don’t forget to communicate and document all expectations.
